In this Modernization Deep Dive learn how to enhance JD Edwards Orchestrator by combining multiple report outputs into one organized, branded email. This session demonstrates how to rename and bundle PDFs into a ZIP file, customize the email content, and automatically deliver everything in a single message.

And then as I said, Kevin, who's been on all these deep dive sessions so far, managing Director to help us with any other questions.

So if you want to go to the next slide before we get started, I just want to give you all a little background about about ERP suites.

We do all things JD Edwards.

So from hosting to manage services and consulting from functional and technical.

And then AI, whether that be within JD Edwards or or anywhere in your enterprise, we've got different AI services including a bunch of digital workers and agents that can help.

And lastly, EPM services, whether that be consulting, advising, managed services within your EPM and adding one or or helping you guys with the one you currently have.

All right, well with that, I'll turn it over.

Kick us off here.

Give us a quick rundown of the agenda and go for it.

Yeah, So, yeah, hello everyone.

Thanks for joining from different from wherever you're joining.

So I am Sandeep Prasad.

So I will be starting today's session.

So, so the today's agenda this session has a very specific problem behind it is like I would like to call it as enhancement of the message service request that orchestration has provided us with that is that is emailing OK.

So we know like we can very easily e-mail the output of of AUB, OK.

But but what if we have like a sequence of UBS output that we require, OK, that a person required at the end of the day or end of the month or end of the year whatever, OK.

So in that case, there would be a series of series of output which will be coming and sitting in the inbox, OK, without any like organization, OK in and without any organized, without any organized manner.

OK, so we're gonna kind of we're gonna fine tune that problem.

OK, so with orchestration solution, so I would like to read out the problem first.

OK Sandeep, can you switch to slideshow so you can blow it up bigger so we can all see that?

Yeah, yeah, yeah.

So, yeah, So the problem like one report, one e-mail, OK, today every UV that finishes with his own own notification.

So, so like if you have like I said, if you have like multiple U BS and then and then you then you create e-mail, then you will have a different e-mail coming for each, for each preceding U BS execution, OK.

And also like the, I mean for the point #2 which is like no batch level signal, which means that when notification arrive report by report, the person receiving them has no way of knowing that when the set is actually complete.

OK?

So they either start working from the partial data or they wait.

And then they chase somebody to ask whether the more is coming.

I mean, more out, more PDF's are coming.

OK.

So that's, that's again a kind of scary situation.

The third is like a system generated file names which is which is kind of which which will not be up, which will not be meaningful for end user, OK.

And it's also like like unbranded.

I mean if you want to have logo and context, OK, So that is what somewhat missing in the present message component of the orchestration.

OK.

So yeah, so I will start with the the orchestration solution, OK.

And yeah, so this is the orchestration which which has been developed for this for this demo.

OK.

So here just I would like to give you a brief that we have like 1 report, let's say just like RR 42565 which is print invoice and other one is RR0006P, which is your branch plant report, OK?

And, and, and you want them to be emailed, OK?

So if you're using the traditional message service, OK, so you go then there will be like 2 times execution and two reports will come to the to the desired or to the mentioned e-mail ID OK, Now what we gonna do is we gonna take the output from these two reports, we gonna zip it OK.

And we we take the branded message from the from the JD application, OK, and then convert to the HTML context and finally e-mail the e-mail the two PDFs in a single PDF, single zip file to the intended to the intended e-mail ID.

OK, so, so from here I would just like to switch to the demo.

OK, so this is what I just mentioned.

OK, so this is report one.

This is report 2 here.

I'm doing the download for these two reports, then zipping it, then kind of getting the message send.

You might need to stop and reshare again and pull up your desktop or the.

So Yep, there you go, I think on this.

Yes, yeah.

So, yeah, as I as I was saying that this is this is the report one which is just for sample I have taken OK, you can take any number of report whichever report you want, standard, custom whatever.

OK, so for now I have taken R42565 and the second one I have just I am downloading it and bypassing the job number and the execution server.

OK, the second one is this now.

This is our unable to report what happened.

I mean some OK, there's a second UB OK, which I mean, I all of a sudden does not OK.

So for this matter, you can have any other UV if you want, OK, and then download it and then you zip it, OK.

And the good thing is I mean you, you can make you can give a name of your zip file, OK?

And you can also rename the rename the output of the of the preceding PDFs PDF output.

And then if for the branding purpose, whatever, when I said branding, I mean this one OK, it will take some time to load.

So meanwhile, so we, we can have all the things ready here in the media object, OK.

And with the help of with the help of this media object GT4016A, we can get the e-mail body and then we can pass we can convert it into HTML code from the this groovy and then finally e-mail the zip file.

OK so this the prerequisited you need.

You can also kind of you can give from e-mail OK any e-mail which you want as long it is configured with the SMTP server.

So you need to give the SMTP host which and then the SMTP port along with the 2 e-mail IDs subject whatever and the content OK.

So I will just execute this maybe it will not execute for the first time because this this report is this report services this it's saying unable to reload the report.

OK, So what I will do?

I will again make use of this report here I will execute print invoice two times.

OK, so from here I will replace this C number.

Let me save it.

This is not the correct one.

Yep, this is the one the save it.

So I will pass this job number execution server here and OK.

So before that OK, still it has not loaded up.

It takes some time for execution.

So this is this is how like we you can give a kind of a branded look and feel for the e-mail body where you can have the logo, you can have whatever signatures and everything and and whatever you are mentioning over here, the same can be can will be coming as a e-mail body.

After the after this whole orchestration is getting finished.

OK, So you see, yeah, so I did the all the service request is kind of executed inside this orchestration.

The success flag is why so soon?

I should receive the e-mail.

And this is, I mean, since I have, you can give the zip file name and inside this, if I download this.

OK, OK, So every time I need to stop.

And so when you go to share, you should be able to hit just screen one or two instead of selecting application.

You'll get everything on your screen now.

Yeah.

But anyways, yeah, me share the downloads.

So Yep, there you go.

So this is the yeah.

So this is zip file which I received OK as an attachment.

So if I open this, you see I mean whatever name you have defined OK, you can create the name for the user of for the for the ease of understanding from the user.

And these are the 2 PDFs and inside and it is zipped inside this particular zip folder so you can see the content.

I mean just for the demo.

So I mean the data, I mean no, no data selected.

But still these are the two PDFs which came which were which were zipped and which which was emailed OK.

So, so with this, I would like to conclude this orchestration demo, OK?

And maybe I will switch to the yeah, to this EPD.

OK, yeah, so so this was the live demo.

OK.

So once again, I will just kind of summarize it.

Yeah, the step 124, run the report, download the PDFs, then rename and zip the output, then pull the e-mail body out of JD Edwards.

OK, so this is the application where you can define it.

Then from media object table, you can get that attachment sorry e-mail body and then convert into base 64 and turn the media object into HTML and finally send one e-mail with the zipped attached.

OK and this is the what which is kind of which you can see in the inbox.

One subject line, one attachment, branded body, logo and signature 0 manual steps.

So Yep, I think so go go back one.

I was just gonna ask about that.

So if if you didn't do that, are you getting how many emails or notifications would you be getting in that example where spot I was just saying so in this example you're getting you're getting 1 zip file.

If you did it the old way, are you getting 4 notifications?

Yeah, four.

I mean single, single e-mail 2 times because we are we have executed 2 reports so.

Yeah, in the in the old way, you would be getting 2 emails per UB execution.

Since here for the demo purpose we have executed 2 reports.

OK, so the user would be getting 2 emails rather than one complete e-mail having both the PDF attachment.

Yeah, OK, Yeah.

OK.

Is that if you have one more slide?

Yeah, there you go.

Yeah.

So this is this is what are the changes for the business.

As we can read e-mail per batch, I mean that this was like 1 per report, now we have 1.

So there would be some kind of manual intervention needed.

Now it is none naming errors.

I mean you can have you can rename the system generated PDFs, OK.

And yeah, you can just change the e-mail wording if by changing that in in the into the this application P40162 work with messages.

And Yep, it is, it is produced on by every run.

OK, rather than manually assembling the required emails, OK, we can have one zip folder which in which you can have all the related report outputs.

So I guess I'm done from my side.

One of the comments, Sandeep, was that somebody was doing something similar with Groovy scripts, but they didn't think about putting the OR reading the e-mail body and having the the logos and formatting to be like your normal e-mail.

So will tip yeah.

Another question is, would you compare this approach with notifications or he's asking if you can do it with notifications instead of just emails.

Maybe.

Yeah, yeah, certainly.

Yes, you can do it because a notification is, you can have this orchestration solution in embedded inside an orchestration.

Sorry, a notification.

So you can, you can very well use a notification.

Yeah, Yep, yeah.

So as Andrea is mentioning, OK, so this this work with messages application is a very kind of it's, it's it acts as a processing option, OK, where you can just given the value and we can read it and you can you can just have it on the as a e-mail body.

So it is very good way of soft coding the messages.

Another question, can you address the e-mail with the name of a customer?

Yeah, certainly.

Yes, yes you can.

You can very well pass the name of the customer.

Everything depend on the transformation.

OK.

So depending on your use case or requirement, you can have different parameter set and there you can pass the name of the customer and it can be very well be printed on the on the e-mail which the customer will receive.

So there's another question from Shravan, how much of groovy scripting needed to write orchestration?

I mean it depends on the use case.

OK, If it is not straightforward kind of which is there as a feature from the orchestration, I guess you need to we need to explore on the groovy side or Groovy or J Ruby scripting fed ratio is asking this wouldn't work with create form, would it?

Create form transform again that is a PDF based solution.

It is more like a it is more used as a reporting purposes.

So I'm not sure about this.

Maybe you can e-mail us with more explanation then then we can we can explain it.

Jennifer is asking, can you please show P41062 print message setup how media object is tied there?

Yeah, OK, fine.

So I'm sharing I answer, but I really don't know how long this is going to take, but I think you can do it in 3 minutes or yeah, you can go long if I need to.

And here this particular Ruby OK, So here you from the data request, OK, you I mean from this from this data request you you take the I mean this generic text buffer, OK, where it is stored in as a BLOB file.

And then you convert that in convert that to the base 64.

And then you pass on to the pass on to the here to this Groovy script which is sending the e-mail as a content e-mail.

OK, here in the BLOB string.
